As a manager in spark, you can update multiple user accounts at once using the bulk update tool. This guide walks you through downloading the user list, editing it, and re-uploading your changes.
Before you start
- Bulk updating is available to admins and to managers (restricted managers can only update users in their own organisational units).
- Only certain fields can be updated in bulk (see the list below)
- Each row must include one identifier: ID, Email, Username or Mobile number (Every record must use the same identifier type).
- Data such as org unit names must match existing in Spark.
- Save your final file as a .CSV (comma delimited)
Fields you can update

| Email address | The Email Address of the Account Holder |
| Status | "True" or "False" sets if the account is Active or Inactive on Spark |
| Visibility | "Yes" or "No" determines if the user shows in lists, reports, statistics, or metrics |
| Can be issued training | "Yes" or "No" determines if the user can have training content distributed to them |
| Can be sent communications | "Yes" or "No" determines if the user can be sent/will receive notifications |
| Mobile number | The mobile phone number of the Account Holder |
| Organisational unit | The Organisational Unit that the Account is associated with must be an exact match |
| Time zone | The time zone that the Account Holder operates in |
| Language | The Language for the Account Holder |
| Username | The Username for the Account |
| Start Date | The Start Date of the Account |
Steps
1. Download the user list
- From the dashboard navigate to the Users tab and click Bulk actions.
Select all users (or filter first) and choose Bulk download for import.
- Select the fields you want to include (13 options are available)
Click generate and then download the file form the right-hand side.
2. Edit the CSV
- The downloaded file uses semicolon (;) delimiters. In Excel:
- Highlight the data
Go to Data text to columns
Choose delimited, and then click next.
- Tick Semicolon, then click finish.
- Keep the trainee ID column intact (Records with missing or mismatched data will be rejected).
- Update the other fields as needed.
- Save the file as a comma delimited .CSV and it will be ready to upload.
3. Upload your file
In the users tab, open the +Create new user user dropdown and select Bulk update users.
Upload or drag in your edited .CSV, then click Continue.
4. Match the headings
Confirm that the columns from your file match the corresponding fields in Spark.
Choose your identifier type (ID, email, username or mobile number).
- Ensure every record has a value in this column. Missing or mismatched values will result in an error.
- Click Continue to proceed.
5. Add tags and conversions
- By default, Spark automatically creates a tag with the date of your upload - you can add additional tags (applied to all users in this update).
Use the dropdowns to confirm the value conversions.
- Dates must be in YYY-MM-DD format. Spark will convert the date into the correct format for a custom trainee field.
6. Review and confirm
- Spark will highlight any errors and shows which records have not updated.
Click View the full details to see the errors.
Download the report file from this screen to check which updates were successful and which records failed.
Once everything has been corrected/confirmed, click Update X valid users to apply the changes.
