Each user created on the Spark platform has an account containing all the relevant details about their training, what details have been provided about them, settings for their account, and logs of their activity and communications.
You can edit all user details for an account, including:
- First and Last name;
- Email address;
- Mobile number;
- Username;
- Organisation Unit;
- Tags; and
- Any custom or feature related fields.
Editing can be completed on a per user basis, or a group of users can be edited in Bulk.
Editing User Details
To edit the details of a specific individual account, select the "Users" option in the Navigation Menu.
Search for and select the user whose details you wish to change by clicking their name.
Once you have entered their account, click the "Personal details & account" tab.
The "Personal details & account" tab will allow you to edit any of the details entered for a user.
User accounts have required data, such as first name, last name, and email address. Other requirements may include username and profile photo, if your Spark setup has these features enabled. You must have accurate data in the text fields and Accept/Reject any pending Photos before account information changes can be saved.
Once you have completed the changes needed, ensure you have validated/entered information into any required fields, and click "Save changes" to apply the changes to this account.
Editing User Details in Bulk
Some user details can be Bulk Edited. To do this, begin by selecting the "Users" option in the Navigation Menu.
Use the "Filter" option on the far-right side to determine the group of users you wish to edit, such as users with a specific Tag, Role or users in a specific Organisation Unit.
It is also possible to use the search function to return a list of all users with a specific tag, or another form of identification, for example, all users with an @companyname.com email address.
Then, click "Bulk Actions" next to the Filter button. This will allow you to pick users individually from the current list by clicking the checkbox next to their name, or you can select all users in the list by clicking "Select all ()" at the top of the page.
Once the users are selected, click Bulk Edit. This option allows you to make the simultaneous changes to multiple accounts for certain fields, including:
- Status of the accounts;
- Account permissions for being able to receive training, communications, and if they are visible in the user list;
- The Organisation Unit of the accounts;
- The Timezone the accounts are operating in; and
- Adding or Removing Tags for the accounts selected.
To make changes to the accounts, select the field(s) you wish to modify.
For many fields, the options will be "No changes" or "Set value to..."
Some fields, like Tags, have more options to choose from.
When you have edited these fields to the changes you require, click Continue.
You will then have the opportunity to review the changes you are implementing, before confirming. If you need to make any changes, click Back. When you are ready, click "Save changes...".
As a final confirmation, you will then be shown a prompt asking you to confirm. Once you confirm on this prompt, the changes will be actioned on the accounts.
Type "YES" into the field as indicated, and click "Save changes" to apply the update to the user accounts.
