Some trainees—such as shop floor workers, temporary staff, or external contractors, may not have access to email or a phone. Spark offers alternative methods to provide training access for these individuals.
How it Works
Trainees without email or phone can access Spark using a one-time activation code. After entering the code on the login page, they are directed to a registration form to set their password.
Example: Shop Floor Workers (Personalised Activation Codes)
For employees whose contact details are limited, personalised activation codes can be generated based on HR data (e.g. name, HR number). These codes are distributed via supervisors and used to access training directly.
- Admin creates user account for trainee
- Supervisor provides activation code to trainee
- Trainee enters activation code on login page
- Trainee accesses and completes training item
Please note that training must be completed in one session, as reminder notifications are not available.
Self-Registration for Larger Groups
For larger groups or external contractors, Spark supports self-registration via a dedicated link. Trainees fill out a registration form that automatically creates their learning account.
Example Temporary Workers (Universal Training Codes)
Trainees without complete HR details can use universal training codes to access training. After entering the code, they complete a short registration form.
- Admin creates training code for desired training item(s)
- Supervisor provides training code to trainee
- Trainee enters training code and completes registration
- Trainee accesses and completes training item
Note: Email-based reminders are optional; otherwise, training must be completed in one go.
Example External Partners (Training Codes with Quotas)
Contractor or supplier trainees can use training codes with quotas. These codes can be limited by entity or training scenario.
- Admin creates training code for a number of trainees
- Admin provides training code to trainees
- Trainee enters training code and completes registration
- Trainee accesses and completes training item
Group Training (Offline Events)
Spark’s event management feature allows scheduling and tracking of in-house training sessions. Trainees can select preferred timeslots, and admins can mark attendance and completion statuses.
- Admin plans and creates event
- Admin invites trainees to event
- Trainee attends event / supervisor confirms attendance
- Admin marks attendance in the event management
Admin Permissions
Administrators have the following capabilities:
- View self-registration records
- Limit the number of code redemptions
- Restrict access with a secondary code
- Customise registration fields to collect company information
- Receive email notifications when a code is redeemed
Password Reset Process
If a trainee forgets their password, an admin can issue a temporary password. If an email address is available, the trainee may receive a password reset link directly.
Tracking and Reporting
Spark tracks all training records, enabling managers to monitor progress across organisations, departments, or individual identifiers such as username, employee number, access code, or trainee name. Usernames can be customised (e.g., staff codes or selected by trainees). Managers can also receive email notifications when trainees are assigned new training.
