Tags can be used througout Spark to help organise and identify users and training items. They can also be used to filter results, making it easier to find specific users or distribute training to groups of learners.
This article explains how to use tags when searching for users and distributing training.
Before You Start
Before searching or distributing training using tags:
- Ensure tags have already been added to users or training items.
- If needed, see Adding Tags for guidance on creating and managing tags.
Searching for Users Using Tags
Use tags to quickly find users that share the same tag.

Select Users from the dashboard.

Select Filter.

Enter the required tag into the Any Tag field.
- If required, enable Ignore tag case to match tags regardless of capitalisation.

Select Apply filters.
Note: ticking the Ignore tag case allows tags such as Example, example or EXAMPLE to return the same results.
Distribute Training Using Tags
Tags can be used to filter both trainees and training items during the distribution process.
Step 1: Select Trainees

From the dashboard select Activity, and then select Training distribution.

Select Distribute training.

Choose the trainees you want to distribute training to.

Select Add Filter.

From the filter list, select Tags.

Enter the required tag.

If required, enable Ignore tag case to match tags regardless of case.

Review the matching trainees and select Continue.
Step 2: Select Training Items

Select Available Training tagged with.
- Enter the required tag.
- If required, select Ignore tag case.

Review the matching training items and select Continue.
Step 3: Review and Distribute
Review the selected trainees and training items before completing the allocation.
If any trainees have already been allocated one or more of the selected training items, this will displayed during this step.
If changes are required, select Amend to review the allocations.
When you're happy with the selections, select Distribute training now.
Each selected trainee will receive a notification that new training has been assigned.
Good Practice
- Use clear and consistent tag names to make filtering easier.
- Apply the same tag format across users and training items where appropriate.
- Use Ignore tag case if tags have been created using upper and lower case.
- Review your selections before distributing training to ensure the correct trainees and training items have been selected.
