Communications is a type of tracking log, accessed in the Reports section under Logs.
A log within the reports system, it recording all the communications sent within the platform - in other words, reports on the emails and messages issued to users.
This log will display the Subject/title of the email sent, describe the type of communication, who it was sent to and the origin of the message, when it was sent, and if the message was successfully sent.
This information will be displayed for every communication.
Some Communications are triggered in the System when certain criteria are fulfilled, such as the New Training notification.
Notifications that operate according to defined parameters will display a ? symbol next to the Origin message.
Hovering over the ? symbol will reveal the rules that triggered that message to send.
Not all messages have this information.
Clicking on the Subject line allows you to view the message in more detail, similarly to viewing the communications in the User Profile.
You can interact with the content of this message in the same way a Trainee would, re-send the email or close the pop-up window.
This log also has Filter and Bulk Action options that operate similarly to other areas of the platform.
You are able to filter communications based on their sending status: Queued for Delivery, Sent, Delivered, Failed.
The statuses of emails often rely on the receiving email service to send a confirmation back to the sender. Often this may mean that the Sent status is the only available status - meaning the system has successfully sent the message, but does not know if the recipient has received it yet.
The Bulk Actions allow a rudimentary download of the log, including the timestamp of when the communication was sent, as well as the content of the message itself, if selected.
Data that can be downloaded as includes:
- ID
- Type
- Sent at
- Subject
- Message
- Status
- Sent to
